Who I am
I'm Katarina Powsey (always known as Katie), a sole trader running KP Life Coaching. When you share your details with me, I'm responsible for looking after them. In data protection terms, I'm the "data controller".
My promise is simple: I only collect what I need to support you, I keep it safe, and I never sell it.

What information I collect
I collect information when you sign up, apply, book, buy or get in touch with me. Depending on how we work together, that can include:
Contact details: your name, email address and phone number (for example, if we chat on WhatsApp)
Business details: your business name, what you do, how long you've been running, and your social media or website links
Application answers: what you tell me when you apply for Behind the Business, UNDIVIDED or another programme
Booking details: calls and sessions you book with me
Payment details: what you've bought and when. Card payments are handled securely by Stripe, so I never see or store your full card number.
Coaching information: session notes, recordings, goals, progress and anything you choose to share during our work together
Messages: emails, DMs, WhatsApp messages and comments in my Facebook groups
Your marketing choices: whether you've joined Inner Circle and which emails you've opened or clicked
How I use it, and why I'm allowed to
UK data protection law says I need a lawful reason (a "lawful basis") for everything I do with your information. Here's what I use it for and why.

Sending Inner Circle emails: updates, reminders, replays and offers / Consent: you've chosen to join, and you can unsubscribe at any time
Replying to enquiries, applications and messages / Legitimate interests: answering people who contact me
Featuring you on Behind the Business, or sharing your testimonial / Consent: only with your clear agreement
Keeping my business safe and running well (records, security, improving my services) / Legitimate interests
I'll never sell your information or pass it to anyone for their own marketing.
Coaching notes, recordings and sensitive information
Session notes. I keep notes from our sessions so I can support you properly and track your progress. They're stored securely and are only for our work together.
Recordings. Most Zoom sessions are recorded so you can rewatch them:
1:1 sessions are shared only with you.
Group sessions for members are uploaded to the Progress Hub, which only members can access. If you'd rather not appear, you're welcome to keep your camera off or change your display name. You can also ask me to remove a section you appear in.
Live videos on Facebook (Guilt Free Fridays and Behind the Business) are public, and the replays stay on my page. Anything you write in the comments can be seen by others. Behind the Business guests agree to the conversation being broadcast and shared before we go live.
Sensitive information. In coaching, people sometimes choose to share personal things, such as their health, wellbeing or family circumstances. The law treats this as "special category" information. I'll only use it to support you in our sessions, with your explicit consent. I'll never share it, and you can ask me to delete it at any time.
Coaching isn't therapy or medical advice. If I'm ever worried about your safety or someone else's, I may need to encourage you to get the right support.
Who I share it with: the tools I use
I don't share your information with anyone for their own purposes. Like most small businesses, though, I use trusted tools to run things. They only process your information on my behalf, to provide their service.

Facebook (Meta) / My page, lives and private groups. Facebook's own privacy policy also applies when you use it.
Some of these companies store information outside the UK, for example in the USA. Where that happens, they use the legal safeguards UK law requires to protect it.
I'd only share your information with anyone else if the law required it, for example HMRC.
How long I keep it
I only keep your information for as long as I need it. Then I delete it securely.

Group session recordings in the Progress Hub / While the Progress Hub library is running (you can ask me to remove a section you appear in at any time)
Payment and financial records / 6 years, as HMRC requires
Inner Circle emails / Until you unsubscribe. I keep just your email address on a "do not email" list so I don't contact you again by mistake.
Applications and enquiries that don't go ahead / 12 months
Messages (email, DMs, WhatsApp) / While we're in touch, then up to 12 months
Your rights
It's your information, and you're in control of it. You have the right to:
- See what information I hold about you
- Correct anything that's wrong or out of date
- Delete your information (unless I have to keep it, for example financial records)
- Restrict or object to how I use it
- Take a copy of it to use elsewhere
- Withdraw your consent at any time, for example by unsubscribing from Inner Circle using the link at the bottom of every email
To use any of these rights, just email [email protected]. There's no charge, and I'll reply within 10 working days.
Keeping it safe
I use secure, password-protected tools with two-step login wherever it's available. Only I can access client and member information.
Cookies
My website may use cookies, small files that help it work properly and show me how people use it. Where a cookie isn't essential, you'll be asked for your consent first, and you can change your browser settings to block or delete cookies at any time.
Children
My services are for adults. I don't knowingly collect information from anyone under 18.
Changes to this policy
I'll update this policy if anything changes in how I work. The latest version will always be on this page.
